This Privacy Notice tells you what to expect us to do with your personal information when you make contact with us or use our services. Your trust is very important to us, so we are committed to keeping your information safe. We will only ever collect information which is relevant and necessary.

Pearce Elite is the controller for any information provided to us directly by a customer, employee or subcontractor. Pearce Elite also processes data on behalf of other controllers when we are asked to carry out sub contractor work.

This means that you can ask us to hold your data but not do anything with it.

This means that you can obtain and reuse your information for your own purposes across different services. Pearce Elite store personal information either on a secure internet platform or in paper format in cabinets within secure offices.

All our offices and servers are based in the UK. Our electronic systems are managed by a third party IT company.

Customers and potential customers who contact us directly

What information do we collect about you, why do we collect it and how will we use it?

Pearce Elite processes information about our customers and potential customers under the following lawful bases:

  • Performance of a Contract
  • Legitimate Interests
  • Legal Requirement
  • Consent

We collect information about you when you ask us to provide a quote to undertake work in your property. At this stage, only basic information such as; name, address and telephone number are recorded and held on a secure electronic system.

If you decide to proceed with the order, we will then take further contact details such as an email address. All this information is held on a secure electronic system.

Your information will be used for the purposes of providing your goods and services from Pearce Elite Plumbing & Heating Ltd.

We don’t currently accept payments by card and will therefore not ask for or retain your card information. We do not keep copies of any cheques received.

We will keep paper records of invoice for 7 years. This is necessary for our accounting purposes.

If we carry out a service on your boiler, we may ask you if you would like us to call you to remind you when the next service is due. We will only call you if you agree to receive this type of contact. You can opt out at any time by contact us using the details within our contact details section.

Alternatively, we may post a leaflet through the address to remind the householder when the next service is due.  This leaflet will not contain anyone’s name. This processing is in the legitimate interests of the householder. Boilers need to be regularly checked to ensure that all components are working correctly and efficiently. It is easy to forget to request a service for a boiler. An annual boiler service can prevent potential problems, avoid unwanted disruption, ensure maximum central heating efficiency and keep energy bills to a minimum.Additionally, failure to service a boiler can result in the warrantee becoming void.

Who will your information be shared with?

If Pearce Elite Plumbing & Heating Ltd supply and install our products for you, we will only share your name and contact details with our qualified engineers who process your data on our behalf, in order for us to fulfil the contract with you and provide the required service. Our engineers are fully aware of their obligations when handling your personal information.

How long will we keep your information for?

If you contact us for a quote but do not take up our services then your information will be destroyed securely after a maximum of one year.

If we carry out work at your property, we will keep your information for a period of 7 years after our last contact with you.

The next part of this notice is for:

Individuals whose information is passed to us via a building contractor

Pearce Elite carries out work as a subcontractor for various building contractors. On these occasions, the building contractor is the data controller and Pearce Elite acts as a data processor.

What information is passed to us and how will it be used?

Pearce Elite process information about individuals whose information is passed to us by building contractors under the following legal bases:

  • Performance of a Contract
  • Legitimate Interests
  • Legal Requirement
  • Consent

Pearce Elite receive householder name, address and contact details. We will use this information to arrange a suitable time and date to carry out the work.

Employees, job applicants and sub-contractors

What information do we collect about you, why do we collect it and how will we use it?

Pearce Elite processes information about our employees, potential employees and subcontractors under the following lawful bases:

  • Performance of a Contract
  • Legal Obligation
  • Legitimate Interests

If you apply for a job with Pearce Elite, either as an employee or contractor, we will ask for your name, address, contact details and CV.

If your application is successful we will ask you for the following information:

Name, address, date of birth, NI number or proof of entitlement to work in the UK, bank details, driving license, motoring convictions (for insurance purposes)

This information is required for the purposes of entering into a contract of employment with us or for any legal obligation imposed on us. We also ask you if you have any disabilities so that we can provide any reasonable adjustments and your next of kin details so that we know who to contact in an emergency.

Our vehicles are fitted with a tracker so that we can allocate resources and manage our workforce efficiently. Data is fed back to our secure electronic system. This information is kept for 7 years for auditing purposes.

Who will your information be shared with?

If you enter into a contract of employment with Pearce Elite, we will share your information with our accountant who will in turn supply information to HMRC and Nest Pensions.

Your details may be added to our ‘meet the team’ section of our website, (name and role only).

We will add the name and gas safe number of any engineer who works for us onto the Gas Safe Register.

How long will your information be kept for?

Your information will be kept for a period of 7 years following the end of your employment before it is securely destroyed.
